OneRingAway is an automated phone assistant that answers calls for local service businesses (plumbers, electricians, painters, handymen, pest control, glass companies, salons, spas and similar local businesses) and books appointments for their customers. This policy explains what we collect when you call a business that uses OneRingAway, and what we do with it. OneRingAway is operated by AI GG Corp (OneRingAway), Westchester County, New York.

What we collect

  • Your phone number — the number you call from.
  • What you tell the assistant — your name, the service address, and a description of the work you want done. Calls are recorded and transcribed so the business can check the details of your booking.
  • Text message replies — for example replying YES to confirm an appointment, or STOP to opt out.

What we use it for

  • To book, confirm and manage the appointment you asked for, and to pass your request to the business you called.
  • To send you a text confirming the appointment details, so you can correct a mistake before anyone is sent to the wrong address.
  • To improve how the assistant handles calls.

Text messages and your mobile number

We do not sell, rent or share your mobile phone number, or your consent to receive text messages, with any third party or affiliate for their marketing purposes. Your number is used only to send the appointment messages described in our SMS Terms, and is shared only with the business you called so they can serve you, and with the service providers who deliver the messages and calls on our behalf (for example our telephone and text-message carriers).

Message frequency varies — typically one to four messages for each appointment. Message and data rates may apply. Reply STOP to any message to opt out at any time; reply HELP for help.

Who we share information with

  • The business you called, so they can do the work you booked.
  • Service providers that operate the phone line, speech recognition, text delivery and hosting for OneRingAway. They may only use the information to provide their service to us.
  • Nobody else, unless the law requires it.

How long we keep it

Booking details are kept for as long as the business you called uses OneRingAway, so that repeat calls can be handled without asking for everything again. Call recordings and transcripts are removed automatically 90 days after the call. Text messages we sent are removed 90 days after they were sent. When a business stops using OneRingAway, its callers, bookings, calls and texts are erased within 90 days — or at once, if the business asks.

How we protect it

Call transcripts and recording links are encrypted in our database with a key that is kept separately from the data. Every copy of the database that leaves our server — including our off-site backup — is encrypted (the off-site copy with that same key, backup files with a separate passphrase that never leaves our office), so a copy on its own is unreadable. Cards are handled entirely by Stripe and never reach us. Logins use a password or a one-time code or link; we never store a password itself, only a salted one-way hash of it (scrypt) that cannot be turned back into the password, and the one-time codes are stored only as hashes too. All connections use HTTPS, and every message from our phone and text providers is signature-checked before it is trusted. Access to the operations console requires a password and a code texted to the operator's phone.

Google Calendar (for businesses that connect one)

A business may connect its Google Calendar so the assistant never books over an existing appointment. We ask Google for a single permission — events on calendars the business owns — and use it only to read the start and end times of events on the primary calendar (never titles, descriptions, guests or locations) and to add, update or remove the appointments the assistant books. Calendar data is processed only on our own servers: it is never given to the AI voice provider or language model, never used for advertising, and never used to train or improve any artificial-intelligence model. The Google credential is encrypted at rest and deleted the moment the business disconnects. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The full policy is at oneringaway.com/privacy.

Your choices

You can opt out of text messages at any time by replying STOP. You can ask us to delete your information by emailing info@oneringaway.com from the number or email you used; we will confirm when it is done.

Changes

If this policy changes, the new version is posted at this address with a new "last updated" date.
